Who is responsible for your information
PROPAI, registration number 2023 / 809026 / 07, trading as PropAI, is responsible for the personal information described in this notice. The website presents managing-agent services and supporting products.
Formal client services remain subject to separately agreed contracts. This notice concerns the website, private proposal access and direct enquiries.
Information we collect
When you submit a management-proposal enquiry, a private proposal discussion request or an MME demo request, PropAI may collect your name, role, organisation or scheme, contact details and the context you choose to provide.
Please do not include unnecessary personal, financial, health or other sensitive information in a website enquiry. PropAI may request further information directly if it is reasonably required to assess or respond to the request.
How we use the information
Enquiry information is used to review and respond to your request, discuss potential managing-agent services or an MME demonstration, and keep an appropriate record of the conversation.
Submitting a form does not create a management agreement, calendar booking, newsletter subscription or automated marketing sequence.
Delivery and service providers
Website enquiries are transmitted for direct review. The website does not maintain a separate public-enquiry database.
Information may also be processed by service providers that support hosting, security checks or email delivery, or disclosed where required by law. Access should be limited to what is reasonably necessary for the relevant purpose.
Website data and cookies
PropAI does not currently use advertising cookies or a newsletter sign-up on this website. The hosting platform may process limited technical information, such as an IP address, request time and browser details, to deliver and protect the website. Where a security check is enabled on a form, Cloudflare may process limited technical information to help distinguish legitimate submissions from automated abuse.
To understand where enquiries come from, this website temporarily keeps the referring channel, public landing-page category and campaign labels in your browser tab for up to 30 minutes. These details are sent to PropAI with a proposal enquiry and recorded in the enquiry email. They do not contain your browsing history, search terms or advertising click identifiers. No visitor identifier or third-party analytics service is used for this purpose. Your enquiry can still be submitted if browser storage is blocked.
Private proposal access
Code-protected proposals use an essential, secure access cookie that expires after eight hours. Where the access page says notifications are enabled, a successful unlock records the proposal and time and sends an email to PropAI. A shared code does not identify the reader, and page refreshes during the same access session do not create additional unlock alerts.
To limit code guessing, the service temporarily stores a keyed digest of the network address and attempt counters, not the raw address. These counters expire within one day. Unlock-notification records are kept for up to 30 days; expired records are removed during subsequent access activity. Email copies follow the business-record retention approach below. We do not collect page-by-page reading activity or infer a reader’s identity from a shared code.
Security and retention
PropAI uses reasonable organisational and technical measures suited to the information and the service being provided. No internet service can promise absolute security.
Enquiry emails and related delivery records are retained only for as long as reasonably necessary to respond, administer the relationship, maintain appropriate business records, and meet applicable legal or contractual obligations.
Your rights and contact
Subject to applicable law, you may ask whether PropAI holds personal information about you, request access or correction, object to certain processing, or request deletion where appropriate. PropAI may need to verify your identity before acting on a request.
